Encore/Worldcat local update

I just wanted to let you all that I've had a few tweaks done to Encore.

The LOCATIONS facet now lists many more discreet locations . One of these locations that people may find particularly useful is the INTERNET location...this allows people to limit their search to items available online.

The other enhancement is the addition of the Worldcat Local database link on the right-hand side of the screen from the search results screen. Although not immediately apparent due to the generic Worldcat Local image, this is the link to Next Gen MELVYL. I would have liked to use an image that reflected this, but unfortunately, Encore doesn't support changing this image yet. :( You'll see once you've done a search in Encore, the Worldcat Local link appears on the right with the numbers of items that match your search. Clicking on that takes you to MELVYL's search results. This link only appears from the results list. It will not appear when you've clicked through to a specific title. This is an enhancement we are eagerly awaiting.

Phone books

Laura's recent post on pay phones pushed the notion of phones to the front of my reference brain so my attention was quickly captured by Leah Garchik's December 13th column in the San Francisco Chronicle highlighting a unique reference work:


In his new "The Phone Book: The Curious History of the Book That Everyone Uses But No One Reads," historian Ammon Shea writes that for a few decades at the end of the 19th century and start of the 20th, there was a hand-lettered Chinese phone book in San Francisco. This was for Chinese customers of Pacific Bell who used the only foreign-language phone exchange in the country.


Chinatown's first phone, in a Bush Street office, was in operation in the 1880s, and was much used by "farmers selling produce or looking for laborers." Beginning in 1890, residents had access to a public phone in the offices of a Chinese-language newspaper. By 1894, a Chinatown switchboard linked 37 phones; in 1898, they became part of Pacific Telephone and Telegraph.


Because Chinese characters are based on ideas rather than letters, the "directory" system was not alphabetic, and most operators would spend a great deal of their first months on the job trying to memorize phone numbers.

UCSC doesn't have The Phone Book: The Curious History of the Book that Everyone Used but No One Reads, but the section describing this distinctive San Francisco phone directory in more detail is included in the Google Books preview here.

While Santa Cruz may not have such a distinctive history of telephone directories our Special Collections Department does have a small collection of phone directories from as far back as 1918. The collection is in NRLF and more details about its scope can be found here.

Other historical directories more readily available include Polk and Haines directories which can be found in Cruzcat.  A detailed list of historical collections of local telephone directories held in various repositories throughout the county can be found on page 65 of Every Structure Tells a Story: How to Research the History of a Property in Santa Cruz County.

International census questions

We've had several questions about census statistics and demographics for countries around the world. As a reminder the U.S. Census Dept. maintains a list of International Statistical Agencies here. Many of these agencies provide English language versions. For example, yesterday a patron and I were able to  find a report, in English, from the Swedish census bureau about the demographics of immigrants from Iraq to Sweden.

Ref College and Careers collection

Hi all,

As part of the reference reduction I'm planning to do some heavy weeding in the college and careers collection outside of the BI room. Much of the material can obviously be withdrawn or moved into the ref collection under its call number. If there is anything questionable I'll consult with the appropriate bibliographer, but if you have questions or concerns about this collection or the material in contains please let me know. Once I've cleared it I will ask cataloging to remove that location from Cruzcat.

My ILL Requests update

Hi All,
This is to inform you that a fix is being put in place that might affect patrons who are trying to access the 'My ILL Requests' service OR might affect when they go to place interlibrary loan requests. We are having CDL change the field where patrons enter their barcode in request and 'My ILL Requests' so that they will no longer be able to put hyphens or spaces between the numbers of their barcode. Patrons were supposed to be putting their barcodes in like this all along, however, the entry field would allow all sorts of variations which would go on to create a distinct account in the interlibrary loan system.

Basically, over the next few days/weeks/months, if you encounter a patron who is having difficulty logging into ILL services you may want to ask how they are going about entering their barcode.
Barcodes should be entered as one continuous string of numbers.
ie: 2210600642878X
AND NOT
22106-0064287-8X OR any other variation like this.

If the patron continues to have trouble please refer him directly to us (call, or e-mail ill@library.ucsc.edu). This fix should be in place sometime on Monday Nov. 15th.

What to do if a 1994+ UCSC dissertation does not appear in Digital Dissertations online

Although we archive the paper copies of all UCSC master theses and doctoral dissertations in Special Collections, they do not handle the submission of files to Digital Dissertations. We can make an inquiry of the UCSC Graduate Division about the student and title and they will verify that the dissertation was produced. They do not have information about its submission to Pro Quest (the company that produces the electronic files and supports Digital Dissertations). It is not mandatory for students to have their dissertations made electronically available so in some cases it may be that the student decided not to make it accessible in this format. The Graduate Division can check and verify if this is the case.

If you encounter an incorrect record in Cruzcat, where a link to Digital Dissertations is provided but does not work, please let Cataloging know and they can correct the record.

EBSCO changes requirements for using search tags in command line searching

EBSCO reports:

Dear EBSCO Customer,

Please note that over the next few days, we will begin migrating toward a new command line search requirement that all search tags be entered in upper-case ONLY, from the current lower, mixed and upper-case options. Here are the details of this change:
Search Tag Changes
Effective with a software release due this week, EBSCO will treat a short list of command line search tags (when entered in lower or mixed case) as text. Only UPPER CASE instances of these tags will be treated as search tags. The tags that will undergo this change are: AN, AS, AU, BE, DE, DO, DR, GI, IN, IP, IS, LA, RN, SO.

The EBSCOhost search engine will place quotation marks around the tags listed above, whenever they are entered in lower or mixed case. Therefore, a user will see the quotes in search history and saved searches going forward.

For example: if the user enters an american tragedy, they will see "an" american tragedy in their search history.

Please note: While users must only enter these specific tags in UPPER CASE with this software release (so that they will be treated as tags and not text), we highly recommend that all users become accustomed to entering ALL command line search tags in UPPER CASE to accommodate future additions to the short list of affected tags. The current list of tags that will be changed is made up of tags that are not frequently used, to cause the least amount of impact on "super" users who are the most likely to employ command line searching.

CruzID manager web pg down tonight

The cruzID manager website (http://cruzid.ucsc.edu) will be unavailable from 10pm-midnight tonight.

Printing authentication will still work for patrons. Students will not be able to configure or change their CruzID Gold passwords. This is an urgent change from the IDM team.

New laptops/iPads/calculators/headphones checkout policy

Hi all,

In order to bring our laptop and other equipment lending policies in line with the iPad pilot we have made some changes effective this morning. All laptops, iPads, and calculators can now be checked out for 4 hours at a time. This equipment can be taken outside of the library and may be checked out overnight after 8:30pm. Headphones may also be checked out for 4 hours, but patrons may not take them outside of the library and they cannot be checked out overnight.

Problem with public copiers - extra charges when using bypass tray

Frank Dang reports:

Public Services staff,

I wanted to alert you to an intermittent copier issue. McHenry Infocommons copiers and Cowell Room Copiers.

Sometimes when using the bypass the new copiers are double charging patrons. On Monday I tested this with the copier services staff and we were double charged. Pat True when back and tested it again with the copier technician and could not re-create the problem.

If you have a patron using the bypass tray on the new copiers in either building and they complain of double charging please notify ps_copiers@ucsc.edu and fdang@ucsc.edu with the time, date, copier number and a small explanation of problem.

If a patron is charged incorrectly the Circulation desks have refund forms, and the McHenry circ desk has cards for refunds.

Update on Morton Marcus Poetry Reading tickets

McHenry Library's Circ desk is a distribution site for the free tickets to the 1st annual Morton Marcus Memorial Poetry Reading featuring Robert Hass on Nov. 6th. at the Cabrillo College Music Recital Hall.

Unfortunately, all the tickets have now been given out-- this is turning out to be a VERY popular event.

If those of you working at the Circ desk (or at other public service desks) end up with complaints about ticket availability please refer those folk to me. As of today noon there are still 20 tickets left at Bookshop Santa Cruz, and if there are cancellations it is possible there may be some at the door before the event.

Bio 80A Life in the Sea

Tips for Life in the Sea Classes

Many ref books that we tend to use for this class are out for Google Scanning.

Using the Gale Virtual Reference Library has helped. Shortcut: Search "GVRL" in cruzcat.

Searching for the species in Google Books can work too. They can then see if we own the book. Or sometimes they can view enough of the book to use it as a source from within Google Books.

I've had *some* success in Academic Search Complete. You can narrow to publication type = encyclopedia.

Updated policy regarding double-sided copying

There is no duplex copy support on the Copier services copiers here in the library, automated or manual. This will be fixed when the campus goes to a new copier and payment system, which there is currently a RFP in progress. Duplex will be available again when the new system goes in.

When using the bypass as a manual duplexer more jams will happen. Copier services had to turn off the automated duplex functionality on these copiers due to a compatibility issue between the payment systems and the copiers. Regarding the duplex issue some of the reasons duplex was turned off was because of the impact of support of having jams frequently, the payment issues, reliability and stability.

Elizabeth Cowell is the library contact to work through service issues with Campus Copier and Print services.
Omar will educate the Library ITS students on copier duplexing.

Double-sided copying in InfoCommons (revised)

The copier repair person had to disable double-sided (or duplex) copying as it was jamming the copiers. It jammed repeatedly when the person only had money to copy one side but it was set on duplex. The only remedy was to disable the function. So, if someone tries to use that setting, the paper trays will be grayed out (unavailable).

There is a workaround (and two students just asked this very question today):

Make a copy on the glass with the book or paper in the normal position. Then take that copy and put it in the bypass tray (on the right side of the copier), face-up with the printing facing towards you. Then place the next copy to be made from a book or piece of paper on the glass, and choose "Bypass Tray" on the control panel. That's how the copier will know to use that piece of paper and not paper from the lower regular trays. It has to be done one sheet at a time.
(Troubleshooting tip: if the paper edge is at all curled it may jam or feed at an angle, so make sure the paper is straight)

Rodent problem update on 2nd floor

The custodians are working to clean up the rodent mess. Most of the affected sections have been cleaned in the Ref stacks, but there are still some areas that need attention. The sections that need to cleaned still have the small, discreet signs attached. The signs are being removed once the cleaning is completed.

There are two compact shelving sections next to each other in the Ref Z's that have extensive droppings that need to be cleaned. The handles for these sections are tied together to prevent patrons from opening them. This section is in the middle section of compact shelving, and not visible from the InfoCommons.

If you encounter a patron who needs material from this section over the weekend, please let them know the items need to be cleaned and they should be available Monday morning.

Please stay vigilant for signs of rodents when you are in the stacks. Preservation is placing yellow streamers in books that need cleaning. Notify Preservation if you notice more signs of rodent damage. Of course, Preservation would be grateful if you would place streamers in books that need attention. More of these streamers are at the Ref desk, in the cubby under the 3rd Mac.

Monday, October 4th: CLA Snapshot Day

Monday, October 4th is CLA's Snapshot Day and UCSC is participating. The impact for the Ref Desk is the way we tally statistics. We won't do a separate tally form for this. Instead, we will ask staff to record the number of questions within a transaction in the narrative box (for example, if you verify 3 citations, that's 3 questions, not the single long or short question we normally count, etc.). So go ahead and log your question as directional, short, or lengthy but also include the extra transaction information in the narrative box.

Oversized paper for music students

Many music scores are not regular sized and reducing them makes them too small to read. So we have in the cabinet just under the right desk Mac (looking from the desk), some 11" x 14" and 11" x 17" paper. Feel free to give some to students who ask for it. They can use it in the bypass trays on the copier. The bypass tray is a little drop-down tray on the right side of each copier. Please let Laura know if you have any questions.

Tip for Slug Card dispenser and "newer" bills

This worked for a student with a $5 bill that had color and the large image: try putting the bill in the opposite direction from what the bill slot says. It did not work the regular way, but it did this way. I don't know if this works for larger bills but it might.

IT Help Desk hours for Fall

The Fall Quarter hours for the IT Help Desk in the InfoCommons is:

Monday-Thursday: noon-3pm and 5pm-8pm
Friday: noon-5pm
Saturday: CLOSED
Sunday: noon-3pm and 5pm-8pm

So folks working the 10am-noon Ref Desk shift may get more printing and computing questions.
Some incoming freshmen have their CruzID Gold passwords already, and some do not. So it's always good to ask if they do, as they often just buy a card when they didn't know they could charge printing to their accounts.

An afternoon at the Fall Festival

Peggy McNicholas, Laura McClanathan and I set up a table at the OPERS Fall Festival yesterday and spent the afternoon meeting students and talking about the library. We asked passersby,"Have you been to the library yet?" and passed out fliers on services and hours.  If students didn't know where our libraries were located we gave them personalized maps with directions from their college to both McHenry and S&E.  We talked to close to 300 students both new and returning.  Returning students were especially happy to hear that we have been able to restore library hours thanks to the passage of Measure 42.  Every student we talked to expressed positive support for the library as reflected in this sampling of comments we collected:

- Yay! we love McHenry!
- Thanks for keeping it open!
- I love the library - I'm a fan!
- The library is our favorite

It was a great day, a wonderful event, spent with good company.  Here are some photos:

In addition to those services offered by the former XpressIt! (now absorbed by Print Services and located at B66, Baskin Engineering), faxes can be sent and received at Bay Tree Bookstore as well. Although this information is not currently listed on the bookstore's Web site (though see: http://summer.ucsc.edu/services), the service has been verified by their staff; charges are identical to those levied by Print Services (http://printing.ucsc.edu/printing/fax.html).

Fall desk shifts begin tomorrow

Hello Deskers,

Fall desk shifts begin tomorrow, Thursday, September 23rd. I have posted the master schedule on the internal page (http://internal.library.ucsc.edu/ref/schedule/). This schedule will be migrating very soon to the new staff portal, and I'll send out a message when that happens. I am also updating materials at the desk, so please let me know if you notice something I've missed that is out-of-date. And don't forget to log your questions on SurveyMonkey. The link is still on the Firefox browser on the desk computers.

We've reduced the handouts kiosk to one, and moved it by the pillar closer to the InfoCommons. There are fall hours fliers, and an updated "Top 10 things" flier. I've seen groups of students come in and take them, so please let me know if you see them out of stock. I'm keeping an eye on them too.

(corrected) Reference Desk Transactions Report, Summer Sessions 2010

During the two summer sessions of 2010 (21st June–27th August), the McHenry Library Reference Desk was open for four hours per day, Monday through Friday, from 1 till 5pm. This tallies to a total of twenty hours per week, or 200 hours for the entire ten-week period. In that period, 387 desk transactions were logged by Reference staff in SurveyMonkey (of which 379 included explanatory remarks). Since Reference staff have been logging desk queries through SurveyMonkey (from March 2010), 2501 transactions have been recorded:

The distribution of queries shows that the 1–2pm hour is most popular with 31.3 percent (121) of transactions, descending with each subsequent hour: 27.4 percent (106) from 2–3pm; 19.6 percent (76) from 3–4pm; and 19.4 percent (75) from 4–5pm. Additionally, 2.3 percent (9) of the questions were recorded at times when desk service was not available. While the majority of transactions were under five minutes (55.3% or 214), 29.2 percent (113) were five minutes or longer; directional questions were only 15.5 percent (60) of the total. Just over 3 percent (76) of the total came to us via telephone, and 2 percent (52) were printing or computing questions. (These transactions do not include off-desk, Ask A Librarian/QuestionPoint, or personal e-mail enquiries.)

  • Helped [emeritus librarian] determine the signature on an 1860 original letter he was transcribing from the Hihn-Younger Archive
  • Recent UCSC graduate: advice on applying to master's degree v. doctoral programmes in pursuit of teaching at community-college level; Web site for faculty postings at California community colleges
  • Emeritus-faculty proxy needed help with databases; also said that he has always received great service from our desk, and how much he appreciated that
  • Assisted two lecturers working on a project which required analyzing the table of contents and physical layout/arrangement of a few journals. We only had electronic access to the journals they needed…. I suggested they contact an ENVS professor who I knew once used to edit the journal to see if he had a personal print subscription.
  • Patron looking for data sets related to education from the perspective of population, transportation, health, environment, etc. Showed him ICPSR, several federal gov. sites, Rand California and our statistics guide. Also gave him contact info for [local ICPSR rep] and Lucia
  • Books, articles, primary documents on Wilder Ranch, its history, and the Ohlone who lived in the area > extensive searching for, variously, Wilder Ranch, Rancho Refugio, Ohlone, Awaswas tribelet in local history titles in Reference Area, Cruzcat, SCPL, America: History & Life + advice on general Spain>Mexico>US California history and land grants
  • Graduate student had ILL request for microfilm from New York State Archives denied as 'no lending library' although NYSA site states desired items 'available through ILL' > contacted our ILL, who will contact NYSA directly to enquire about item + found microfilm purchasing information on NYSA site to offer patron alternative if ILL unsuccessful
  • 1970s-80s index for Santa Cruz Sentinel? > no such, but showed patron how to use SCPL Newspaper Clippings file along with microfilm
  • Community member: reliable Web information/advice on home foreclosure options and alternatives > found relevant pages at HUD, FDIC, California Department of Real Estate
  • UCSC staff member who is also a Cabrillo summer student needed help finding an expert from UCSC on global warming to interview for a project. Helped him find several names and printed contact info, primarily [Earth & Planetary Sciences faculty] who spoke on the topic for Synergy
  • Historical information about the invention of the washing machine - found one book in Ref and several in stacks. Also wanted advertisements from different decades. Gave her call no. for All-American Ads by decades.
  • Tutorial on finding popular articles reporting new scientific research then finding scholarly studies on which articles are based > New York Times and Academic Search Complete, then PubMed and PsycINFO
  • [Community researcher] needed help finding and accessing a document on land use from 1878. It's an online document that Hastings owns in their Making of Modern Law database. He'll have to visit Hastings to access it. Also spent time telling him how to best approach access to these documents, when to use Cruzcat, limitations of Melvyl, and about Calcat. He was very appreciative!
  • Former student doing an internship for [Politics faculty], researching mayors who are notable or “heroes”—Academic Search Complete, newspapers, how UC-eLinks works, ILL process, Cruzcat -- subject headings "mayors", Dictionary of National Biography, Gale Biographies database, ref book: Biographical Dictionary Of American Mayors, 1820-1980
  • Staff member looking for FCC decision concerning wireless signal boosters > found public notices and comments in FCC Electronic Comment Filing System, eventually determined from listed proceedings that FCC's Wireless Telecommunications Bureau had jurisdiction in matter, went to their separate site and found Headlines Archive lists all official public notices, news releases, and orders/decisions > determined no decision has yet been made in the case of signal boosters (as comment is still being collected)
  • Researcher from UCSF called to verify a citation from Source: Encyclopedia of Drugs, Alcohol & Addictive Behavior. We have title electronically, and in print. Almost needed to use the print because the title search didn't return results. Determined there was a slight title change from what the researcher had vs. the title in the source.
  • Advice on appropriate use, according to Chicago Manual of Style, of footnotes v. bibliography v. in-text notes v. reference list

Underground Newspaper Collection

If you've ever had to find anything in the Underground Press Collection, you know it can be confusing, so perhaps this will make it easier:

If you see "In: Underground Newspaper Collection" after a location of McH Microform,
(as in this example from the "People's Press": http://cruzcat.ucsc.edu/record=b1528604~S5),
then you need to look up that title in the guide to the Underground Newspaper Collection. The guide lives in the bookcase at the end of the microfilm cabinets that is closest to the microform readers. It is in call number order under PN4888.U5U542. It will tell you what our holdings are an what roll# it is on.

Then you will find all of the Underground collection in cabinets 40 and 41 against the back wall of the microforms area.

Classical Scores Library

We have access until November 10 to "Classical Scores Library," an online collection of scores available at the Music Online site (the home of four of our streaming audio databases -- Classical Music Library, Smithsonian Global Sound, American Song, and Contemporary World Music).

Please take some time to browse and test this resource. It is expensive, but there appears to be a one-time funding possibility for acquiring it. I would very much appreciate any feedback regarding the value of this resource (once all of the content has been loaded) to your teaching and research.

The vendor has told me that each score will soon have a link to "available recordings" so that one may play the corresponding audio (in Classical Music Library) while reading the score. However, there appears to be a technical problem with that right now.

Next Gen Melvyl now has tabbed limits for embeddable search box

A common concern expressed about Next Gen Melvyl is that article and book records are often intermingled in the search results. A new tool, in the form of an embeddable search box, takes a step toward addressing that by including tabs that limit the search set.  Here is an example of what the search box can look like:

In this example the search can be limited to articles or books or search everything. Other format options include DVDs, videos, audio books and images. The scoping option generates a drop down menu that will allow you to limit your search to UCSC, UC libraries or libraries worldwide.

Late this evening, a newly designed campus web home page and related secondary pages, supported by a new content management system, are scheduled to go live. The structure and design of these pages reflect input from academic and staff personnel; students; alumni; and others.

This is part of an ongoing comprehensive web improvement program, commissioned in late 2008 by Chancellor Blumenthal and CPEVC Kliger. Co-led by University Relations and Information Technology Services, this initiative also involves the adoption and implementation of an enterprise-wide system for managing website content, the development of clear guidelines for UCSC web sites, and an updated definition of web services supported centrally by the campus.

These web enhancements are intended to aid efforts to promote UCSC's many strengths and distinctions; recruit students, faculty and staff; increase private financial support; and provide a clear, accessible information portal for faculty, staff, students, and others.

In early September, the Humanities Division, two of its departments, and Porter College sites are scheduled to transition to the new design and architecture within the campus Web Content Management System (WCMS). Other partners in the pilot phase of this project will transition their sites in coming months.

New IT Desk hours for McHenry

New format for My ILL Requests

Hi everyone,

There is a new look to "My ILL Requests" when patrons log in. If they don't click on the small "Show everything" box in the upper left-hand side of the screen, at the top of their list, then they will not see items that have not yet been shipped. So if you are helping anyone in the Ask A Librarian RT or at the desk, keep that in mind if they say none of their requests are displaying (or things are missing) and they've logged in correctly.

Summer Emeriti library research class

Frank and Laura will be having a drop-in library research class for emeriti faculty and staff on Wednesday, August 25th from 2-3:30pm in the McHenry Library Classroom 2353 (2nd floor). ERes notice to faculty

This message has gone out to Faculty and is the first of many communications to faculty instructors about the changes to eres.

To Whom It May Concern:

In order to support the campus’ goal of providing a consistent user experience for the entire campus learning community and eliminate costly duplicative services, the University Library’s Electronic Reserve service will be undergoing several changes over the 2010-2011 academic year.

Beginning Fall 2010, Electronic Reserves (ERes) will be offered through eCommons, UCSC's new Education Commons and Collaborative Learning Environment. Scanning and posting of documents will continue through the fall quarter. Additionally, the Reserves Department will be working closely with instructors to teach them how to directly manage their course materials and resources, in order to prepare for winter and spring service changes.

In Winter 2011, hard-copy material will continue to be scanned and posted in eCommons. The Reserves Department will no longer be posting material that is electronically delivered. The department will continue to work closely with instructors to ensure they have resources available to them to successfully manage their course materials in eCommons.

In Spring 2011, the Reserves Department will no longer post course material. Scanning of hard-copy material will continue, but all documents will be e-mailed to the instructor for posting once they have been scanned. The Reserves Department will offer eCommons referral support during this time.

Gifts and donations

This is a review of how we handle gifts at both library buildings.

Maps and Special Collections accept and process gifts, and gift forms, themselves.

Paul Machlis is the gift coordinator for all other materials. What this means is that staff should refer all questions about possible donations to Paul; he will talk to the person and determine whether we accept the gift or, if not, what other options are available.

The exception is when a patron comes to a service desk with a gift in hand, usually just a few volumes. In this case:

1. You are welcome to accept their gift, which you will pass on to Paul.
2. Please offer them a "Letter of Gift" form to complete, which you will also pass on to Paul. The donor is not required to complete the Letter of Gift form, but must do so if they wish formal acknowledgment which comes from both the Library Office and Campus Gifts Administration.
3. If you do accept such a gift and the donor asks if we will definitely add the item to the collection or if not, can we return the item to them, the answer in both cases is "no." Items that are not needed in our collection are disposed of in various ways.

Access and Reference at both buildings will be replacing old forms with the new form (the McHenry Ref Desk keep them in a drawer beside the Vertical File drawer).

The information regarding codes at the bottom only concerns Paul, Special Collections, and Maps. When he receives a completed gift form, he will complete those sections.

Material type "Music CD" active in CRUZCAT

I have added a new material type (Music CD, code "h") that is now selectable in the webpac. You'll notice that the old COMPACT DISC drop-down menu is gone, as it never functioned properly. Note that the DVD drop-down menu is still there as it works. Currently, Music CD is the last selection on the Material Type drop down menu. If there are no objections, I'm going to leave it as is. If, however, there is a strong desire to reorganize the Material Type list, I will do so. Please let me know if you feel strongly one way or the other Thursday, July 8th.

Mass Digitization (Google) Project Moved to S&E

On Wednesday, June 16, the last full load of books was shipped from McHenry to be digitized at the Google scan center. These materials will return to the shelves in the first weeks of July. The Mass Digitization Project is now moving to the Science and Engineering Library, where because of the smaller number of eligible materials, it is expected that scanning operations will conclude by the end of fall quarter.

The first shipment of materials to be digitized from the Science & Engineering Library will depart on June 30. Shipments will occur weekly, on Wednesday mornings, and materials will be off the shelves for approximately three weeks. For a few days at the beginning of this period, materials may be off the shelf before their status has been updated in CruzCat (to v:OUT4SCANNING). Likewise, at the end of the three weeks, the status of an item may be updated to reflect that it has returned to the library, but the item itself is waiting to be re-shelved. For this reason, yellow signs will be affixed to areas of the shelves which have been pulled to alert patrons. If you are assisting a patron who is seeking a book that you have reason to believe may be somewhere in the digitization process, please call or email me (ext. 2-7392, mjkramer@ucsc.edu) with identifying information for that book. I will be happy to let you know whether/where the book is in the process, and will arrange to have it brought up to the hold shelf when it returns to the library.

While the process itself can be inconvenient, I hope that the digitization of library materials will ultimately benefit our patrons. Nearly three million books have been scanned from the UC system, and many of those items which are in the public domain are already available for viewing through the HathiTrust or Google Books. CDL is working to make scanned books easily accessible through Next-Generation Melvyl.

2009 UCOP salary data

As previously mentioned in the email sent from the UC Office of the President, the payroll data for the calendar year of 2009 is housed in McHenry library. The data disc, which contains one large PDF, is now available for viewing. The call number for the disc is UCSC.1056. The disc has a two-hour checkout limit. You can access this material by bringing the call number to the main circulation desk. Non-affiliated library users may also access this material by providing a photo ID and contact information needed for a manual checkout. Other UC-related material can be found in CRUZCAT:

Emailing docs to visually-impaired student

Just in case Christian (the blind student with the seeing-eye dog) returns for more help, the following may be helpful. His computer can't read aloud from PDFs, so he needs text copied and pasted into a word doc. I found that when I click PDF full text in ACS, I can't highlight/copy but if I click "download PDF" (bottom left) and open in Acrobat, I can do this, and then paste into word. It is also important to make sure that the pasted article includes the citation information -- in one case it did not, so I grabbed that and added it to the word doc. He is also OK with a link to an HTML text, so when HTML is available that may be more convenient, although I ended up pasting most of the articles into word regardless. Paul

Laptop printing

We had a public services meeting an noon today to discuss the Personal Laptop Printing Pilot. I thought all staff would be interested in this pilot as printing from personal laptops is a question we probably all get. While it is a relatively straightforward process for PCs, it is fairly complex for Macs. Public scanner update

The scanner in S&E is available again.  Another scanner is still out for repair and a third scanner has been ordered.  As soon as a second scanner (either the repaired one or the new one) is available it will be installed in the Media Center. In the meantime patrons who need access to a scanner should be referred to S&E.

Chat reference Qwidget availability

 A question came up recently about when the QuestionPoint Qwidget form is available and whether or not it is indicative of when the 24/7 QuestionPoint service is available to our patrons. I want to explain here when you can expect to see the Qwidget and how patrons can access QuestionPoint when the Qwidget isn't available. To simplify that last part I've added a new link to our Ask A Librarian page. 

The Qwidget form only displays on our Ask A Librarian page when QP is staffed by UC librarians. Currently UC librarians are staffing the service from 11:00 a.m. to 9:00 p.m. Monday through Thursday, 11:00 a.m. to 5 p.m. Friday, and 5:00 p.m. to 9:00 p.m. Sunday.

Questions posted to the Qwidget are only seen by UC librarians. The other method of posting questions is via the standard QuestionPoint chat form. The chat form is monitored 24/7. That monitoring is done by librarians from other institutions around the clock accompanied by UC librarians during the hours listed above.

When the Qwidget is available the following form will be displayed:













When the Qwidget isn't available patrons need to click on either the "Ask A Librarian" logo (see below) or the new text link "UC Ask A Librarian Live Chat Service."

New large monitor in McHenry 0345

There is now a large television monitor mounted on the wall in McHenry 0345. This monitor can be used to display data from a PC or Mac. There is a VGA cable that you may attach to a PC laptop. If you have a Mac laptop, come see me for a VGA to MiniDVI dongle that will allow you to use your Mac.

Right now, video from PC and Mac is supported. Audio is not yet supported but I am working on it.

Hi All,
The scanner was dropped off at Dave's computer for warranty repair to begin on or around May 13th. They will notify ITS when the work has been completed. A rough estimate would be mid to late this week--depending on the workload at Dave's computer.

For more clarification, original Cowell scanner went out of service, so ITS brought up the Media Center scanner with permission from Greg as a temporary solution. Soon after, the scanner that we had brought up to S&E had power issues. They are now both at Dave's undergoing warranty repairs.

Tim Basquez, Senior Construction Inspector, and Thomas Lee with EH&S were in McHenry this morning investigating the sulfur smell on the 2nd Floor. After a thorough search they were unable to determine the source of the smell. The air in the affected areas tested negative for anything harmful, and now the odor seems to have dissipated. If we learn anything more we'll let you know.

Commencement schedule 2010

The campus commencement schedule for 2010 has been posted here.

Primer to be used in McHenry Renovation

Pending EH&S final approval this Friday, ATI will begin on Saturday treating some of the concrete in the renovation with a product that may produce some odor. EH&S has reviewed the product and the process and have put controls in place to mitigate it's impact. It will be done in contained areas and vented to the north side of the renovation. The work, which will be done in stages through next week, will be closely monitored throughout by EH&S. If you have any questions or concerns, please feel free to contact me.

It's a primer that they'll spray over the concrete after they've wiped it down with chemical sponges to remove as much soot as possible, then they will paint over that. They are only doing this in areas where the concrete is above a dropped ceiling. The rest of the concrete will be cleaned by blasting with dry ice.

Reference Service - 6/14 to 6/18

Hello Ref Deskers,

I wanted to share a temporary change in reference service for the week of June 14-18th. I'm sending this message to you because you typically work on the Reference desk during the summer. If I have neglected to include anyone on this list, please let me know.

During the week of June 14-18, the week between Finals and Summer Session, Reference desk assistance provided at both McH and S&E libraries will be shifted to the Access desk. This temporary change is to allow Access Services to deploy their staff to shelf-reading and shelving in the stacks. Reference hours starting this week are 1p-5p, and again, you would work your regular reference shift(s) at the Access desk.

This means that we will provide very basic circulation assistance as well as research assistance at the Circulation desk. Access services staff will provide training, and an access staff person (most likely Molly) and a student will be available as back-up.

I understand you undoubtedly have questions about this, so I have scheduled the McH instruction room for a half-hour meeting tomorrow, Friday the 14th, from 9:30-10am. I hope to see you there.

New incident form

Dear Library Staff,

In order to make the library incident report form more stable and secure, we've moved it from the old library web server to the staff Drupal server. The new url is http://staff.library.ucsc.edu/node/add/incident-report but a redirect is in place, so you will be forwarded to the new form from the old link. It looks a little different but the information is the same as the old form.

You do need to login with your library server username and password in order to see the form. This is the same login and password used on the Edgar filesharing server and the main library webserver. If you do not to know your Edgar login, please contact IT help (at http://itrequest.ucsc.edu) and they will reset your password.

Slug Copy Card Reader Tips and Hints

In the past week we have seen an increasing number of jams in the Slug Copy Card readers. Here are a few tips and hints that can help reduce jams and keep the machines operating smoothly.

1. Ensure that cards that patrons are using or that you have distributed to patrons are free of excess build-up. More specifically, tape of all varieties, dirt, dust, and anything that feels the slightest bit sticky on the card. If need be, you can clean the cards with an alcohol dampened paper towel or cloth

2. Please don't attach anything to cards like balance post-its that could be put into the reader with the card. Any tape, post-its or rubber bands will jam the reader.

3. Sometimes patrons will forcefully insert their student id's or a copy card from Fedex Kinko's. When this happens, call ITS staff before attempting to remove the card as both the reader lens and the card are susceptible to damage when removed incorrectly.

Password Reset Feature

New Password Reset Feature

On February 21, 2010, ITS released a new self-service "forgot your password" feature that allows people to reset their CruzID Blue and Gold passwords online by answering security questions.

Anyone who signs in to the CruzID Manager will have the ability to set answers to security questions for their account. While it will be optional to set these answers, those who do will not need to contact the ITS Support Center to have their password reset when/if they forget their CruzID Blue or Gold passwords. Instead, they will be able to reset their password via a new "Forgot Your Password" link in CruzID Manager.

Note that this self-service password reset feature is not recommended for anyone who has administrative privileges to systems on campus. If you have admin-level access to campus systems, please evaluate whether using this new feature introduces a risk of someone guessing your security answers and gaining access to sensitive information. If it does, simply do not set answers to the security questions.

You may set up your security questions by accessing the CruzID Manager at: https://cruzid.ucsc.edu/ Once you sign in, click on the "Set/Change answers to security questions" link.

Light out log (not about sleeping in the library...)

The campus electrician has asked us to track when the lights go out,
where if occurs, and when they come back on again. Laura has made a
log at the Reference desk to track this.

I understand they suspect it may be a problem with the programming,
and they need our help to pinpoint the problem.

Student email: CruzMail to SlugMail

I just had a student ask me if I knew anything about the fact that he couldn't log into CruzMail. Here is the story from the ITS site:

"On April 28, 2010 from 2PM to 6PM, all student email accounts currently using CruzMail, will be automatically switched to SlugMail.

On that day between the hours of 2PM and 6PM, students will no longer be able to login to CruzMail to check and send email. Instead, they will login to SlugMail. Their UCSC email address remains the same."

Wiki page for McHenry services info

Hi all,

I've set up a wiki page http://ucsclibrary.pbworks.com/McHenry+fire+-+services+update, where we can share information about temporary changes in service while McHenry is closed. Folks on refall are the intended audience but the page is open to anyone. While the page is very similar to the Alternative Services page this has the benefit of being informal and oriented to what we need to know from our reference service points. Feel free to update, correct and add new information as it becomes available. Title in Process (TIP) requests

I just wanted to send out a reminder that Title in Process (TIP) requests should be referred to the Circulation Desk. Staff at that desk can check to see where in the process the title might be and can check new book trucks, etc. or refer the request to Cataloging as necessary. Please don't send TIP requests to ejournals. The procedure for handling TIP requests is also available on the library's FAQ page

Q: CRUZCAT says a book is "in process." What does that mean?

A: "In process" means the library has received the book but we're not finished cataloging and labeling it. To obtain access to these items, see the Circulation Desk staff to arrange for a “TIP" (title in process) Request. This service is available Monday-Friday, 9:00am to 4:00pm only. Good news! Access Services has extended this service to whenever the Circulation Desks are open.

16th-century engravings

Students in Allan Langdale's HAVC 137E Renaissance Prints class will be researching a mystery engraving from 16th-century Germany. BR kindly informs us that they should consult the Illustrated Bartsch (http://cruzcat.ucsc.edu/record=b1431168~S5), volume 10 of which is entitled Sixteenth-century German Artists.

Additional info from Lee:

"That helps. I had a student who insisted the engraving was Bosch, and when that didn't pan out, noticed "Barsch" somewhere on the page, but that name drew a blank as well. I pointed her to some texts about early engravers and suggested the VRC if that didn't work."

Right desk Mac screen tilting problem

The ergonomic arm on the right desk Mac seems to have a missing bolt or screw that allows us to tilt it backward and forward as we need to. A call is in to Jerry to see if he can fix it for us.
It does seem to be working at the moment if you gently tilt it back away from you. But if it starts to tilt forward, it falls all the way and is unusable.

Thanks for your patience while we have it repaired. In the meantime, if you are uncomfortale using it until it's fixed, use the center computer on the back table or the left desk Mac.

2nd floor construction


Devcon is currently de-constructing the wall along G-line in the Reference shared work area, and will begin work in the second floor stacks area next Monday, April 12. It will take at least Monday and Tuesday to complete the work. As on the other floors, plastic will be draped from floor to ceiling by the contractor, and additional plastic sheeting will placed over the stacks by Operations and Preservation.

Due to the G-Line construction on the 2nd Floor, the Gov Docs collection will be mostly inaccessible. We’re not quite sure of the timeline for this (at least today and maybe tomorrow?). If you encounter a patron who wants one of these inaccessible government documents, please let me know. We might be able to find a work-around; the desired document might be available online (even if there is no apparent electronic copy) or even on microfiche. So please feel free to call me at 9-5654 or find me in my office (my door will probably be closed due to construction sound) and I will help in any way that I can.

Ref Desk "Not on Desk" lists posted

I have made a posted two lists of who is not on the desk on certain days, to help facilitate trades, coverage, etc. If you do not see a name listed and they are also not on the schedule, that means that are working at S&E that day or are telecommuting.

Billing questions tip

Jess had a good reminder if you encounter a billing question.

Be sure to ask the patron what the bill is for: Printing or library material

If it's printing, refer them to the central IT support line 459-4357 or help@ucsc.edu

If it's a library material fine, refer them to Access or point them to the online library billing form at http://library.ucsc.edu/services/borrowing/billing

New 2nd floor copiers: screen message

The new Ricoh copiers have been installed by Copier Services on the 2nd floor. They are no longer free and are back to the normal pricing (15¢ per page when paying with cash, 8¢ per page when using a Slug Copy Card).

The screen on the copier now displays a message (which we are trying to have changed to something more intuitive) that says:

"To use the following function(s), set Key Counter. Copier"

This means:
"The copier is ready to be used, put a Slug Copy Card in the tower to make a copy and have access to the control screen"

It also displays a tiny message at the bottom left of the screen that says:

"Cannot connect with DHCP server. (101) Contact the Administrator."

This means: "I don't have a server to connect with (and won't), so ignore this message."

We are trying to have these either removed or fixed, so stay tuned.

The 3rd floor old copier is currently out of order. The 4th floor old copier is working.

No printer at the Ref Desk

As a reminder for those that have been away from the desk and are back for Spring Quarter, there is no longer a printer at the McHenry Ref Desk. Details are below in Lucia's March 11th refall message:

"
The printer at the McH ref desk is being moved to the Ref offices to replace the dead one. This means we will not have a printer at the Ref desk until further notice.
The desk machines still print to this printer, but you will need to 
walk into the office (next to the mailbar) to retrieve anything you
print from the desk.

Desk stats migrating to online form

We are migrating McHenry Ref Desk statistics gathering online, using SurveyMonkey. We will start using this on Monday, March 29th, the first day of Spring quarter. We will no longer be using the paper forms and clipboard. However, we do have them on hand in case the power goes out or there is some other unforeseen problem.

Here's the important things to know:

There are only two *required* fields: Shift Time and Desk Stats Category (Dir, Short, Long). The other fields are optional. It would be helpful if you could fill them out, but you don't need to if it's busy.

Category refresher:
+ Directional: Giving directions. Pointing to a resource or service point or location of materials. Directions to the bathroom, etc.

+ Short: Anything more than directional that requires explanation up to 5 minutes, such as how to read call numbers, how to look up a book, etc.

+ Lengthy: Anything longer than 5 minutes.

The form is bookmarked on the toolbars at every Ref desk machine as "MCH REF DESK STATS." If you want to take a look at it now, use this URL: http://www.surveymonkey.com/s/mchrefstats.

Keep this URL handy in case you need to enter statistics after your desk shift.

Opening PDFs on public computers

If a document opens with the open source PDF viewer (not Adobe), right-click to choose "Open with...Adobe" or save it to the desktop and then drag it to Adobe in the dock. Same for the Ref Desk computers.

Printing update and clarification

From the public computers, there is no longer a second popup window (that tells the patron how much the print job will be). That changed with the new system, but some did not hear about the change. Macs didn't need the notify acknowledgment, but PCs did, to send the print job. It was a feature of the old
printing system, that we did not implement in the new version. So now all the patron needs to do is name the print job and then pick it up from one of the release stations. They will see the cost when they pick up the print job from the release station (Thanks to Frank Dang for this clarification).

-graduate student at UCB developing a resource management plan for a ranch property in southern San Benito
County and is trying to determine if it had been part of a Mexican land grant

-graduate student needed to find books, articles, or websites on pre-Christian Basque mythology, specifically a deity associated with caves

-student looking at California high school exit exam information, specifically Latino students failure rate

Writing class focused on surfing

There is a Writing section that is focused on topics related to surfing. I've helped a couple of students with this topic and have a few strategies to share:

-not using the * symbol for truncating -- too many items come up with "surface"; leaving it as keyword "surfing" worked much better

-adding "NOT internet" to the keyword search was extremely helpful in the article databases

-Encyclopedia of Surfing: McH Ref GV840.S8 W3476 2003

-article databases: Academic Search Complete; Historical Abs; in Illumina (surfing is a Descriptor in CSA) used Oceanic Abs, both Psych dbs, Socio Abs

-adding ideas/subject terms such as surfers, culture, subculture, counterculture, sport psychology, extreme sports, risk-taking, recreation, coastal management, environmental protection, business, marketing, etc.

Film 134A -- American Cinema, 1930-60

There is a fair number (80 from what a student in the class told me) who may be coming in to research the following assignment:

Film Marketing and Reception Project
Due at the beginning of your discussion section on Week 8 [week of 22nd February]

You will choose an American film made between 1930 and 1960, one we have not studied in class, and research how the film was marketed and reviewed at the time of its original release. Materials you gather might include original movie reviews, posters, film trailers, press stories, movie star profiles, interviews, etc. You will write a short analysis of the information available from these sources and make an argument regarding how the reception and marketing of the film was influenced by historical events. Your analysis should be 5-8 pages....
